Purpose of position  

The position provides direct support to the President and CEO while acting as the liaison with senior management, the board of directors and committees. This critical role supports the leadership and governance of the Association, collaborating with stakeholders to strengthen and sustain the organization.

Responsibilities

Executive and administrative support:

  • Manage the President and CEO’s calendar, scheduling, and time prioritization
  • Coordinate meetings, briefings, and executive travel
  • Prepare correspondence, reports, agendas, presentations, and briefing materials as needed to support the President and CEO
  • Serve as a trusted gatekeeper, handling sensitive and confidential matters with discretion
  • Anticipate needs and proactively resolve administrative and operational issues
  • Other duties as required by the President and CEO

Board of directors support and governance:

  • Coordinate board of directors and committee meetings (scheduling, agendas, logistics)
  • Prepare and distribute board of directors materials in collaboration with leadership
  • Record and maintain accurate minutes and official records
  • Support governance processes, including compliance with bylaws and policies
  • Serve as a key liaison between the President and CEO, board of directors members, and committees

Communication and relationship management:

  • Act as a primary point of contact for internal and external stakeholders
  • Manage executive-level communications on behalf of the President and CEO
  • Foster professional relationships with board of directors members, partners, and key stakeholders
  • Ensure timely flow of information between leadership, board of directors, and staff

Stakeholder engagement:

  • Represent the President and CEO at meetings and networking events with a focus in Quebec, including delivering presentations, as appropriate
  • Working collaboratively with the Regional Divisions Manager, build and maintain positive working relationships with stakeholders, partners, and members in Quebec
  • Support communications team with French-language content as required
  • Serve as a liaison between the President and CEO, Quebec-based stakeholders, and internal teams

Knowledge and experience

  • Minimum 3 years of experience in an executive assistant, senior administrative, or similar support role
  • Able to balance and prioritize multiple tasks, build a collaborative environment with various stakeholders
  • Proficiency with Microsoft Office 365 and virtual meeting platforms (e.g., MS Teams, Zoom)
  • Bilingual (English/French); excellent written and oral communication skills
  • Experience in the automotive aftermarket is considered an asset

  • We are working remotely and are happy to consider candidates who are located outside of Ottawa and prefer to be fully remote in Ontario and Quebec. Please note: some travel may be required throughout the year.  

Salary range: $70,000 – $78,000
